Running your crew from your phone

When it is just you, the schedule lives in your head. Add one or two people and suddenly jobs get double-booked, someone goes to the wrong address, and the customer calls you asking where everyone is.

One schedule, everyone sees it

Put every job in one shared calendar: address, time window, what the job is and who is on it. Everyone checks the same source. Group chats are for talk, not for the schedule.

Job details before they leave

Each person should know before they set off:

  • the customer's name, phone and address,
  • what the job is and what to bring,
  • access notes - gate codes, pets, parking,
  • anything promised on the quote.

Missing details cost a return trip; return trips cost your margin.

Updates as the day goes

Ask the crew to mark jobs started and finished. It tells you who is free for the emergency call at two o'clock, and it gives customers accurate arrival times.

Photos are your protection

Before and after photos of every job settle disputes, help with warranty claims and make great marketing - with the customer's permission.

Getting paid on site

When the job is done, the invoice should go out before the van leaves - and the customer should be able to pay by card there and then. Paperwork that waits until Friday gets paid late.

Keep the team in the loop

A short weekly catch-up - what went well, what went wrong, what is coming - prevents most of the friction that grows in a busy crew.

Service Boss keeps scheduling, job details, quotes, invoices and card payments in one place on your phone, so you can run the crew from the job site instead of the kitchen table.
